Professional Services

When your team bills by the hour, downtime is expensive

Accounting, consulting, marketing, and engineering firms sell their people's time. Every hour lost to a broken laptop, a stuck file sync, or a password reset is revenue that does not come back. We keep the tools working and the client data protected, at a cost you can budget.

The realities

What makes professional services firms different

Downtime is lost revenue, immediately

When utilization is the business model, an outage converts straight into unbilled hours. There is no catching up later without eating into someone's evening.

You hold data clients care deeply about

Financials, strategy, designs, and customer lists all live in your systems. A breach at your firm is a breach of their information, and that conversation is a hard one.

Work happens everywhere

Client sites, home offices, airports, and personal devices. Access has to be easy enough that nobody works around it and controlled enough that a lost laptop is not a disclosure.

Headcount moves in both directions

Onboarding a new hire should take an hour, not a week. Offboarding should remove every access path the same day, which is where firms most often slip.

IT built for professional services firms

Professional services firms have an unusual technology profile. Headcount is the product, the tools are mostly cloud, and the data is somebody else's: client financials, strategy documents, designs, campaign data, and personal information collected along the way. Clients hand it over expecting it to be handled well.

The economics are unforgiving in a way that is easy to underestimate. A team of fifteen losing half a day to an outage is not an IT annoyance, it is a direct write-off of billable capacity, plus deadlines that shift into evenings and weekends. That is why reliability tends to pay for itself here faster than in almost any other sector.

There is a seasonal dimension too. Accounting firms cannot afford an incident in March. Engineering firms cannot lose a day near a submission date. Agencies live and die by launch weeks. We plan around those peaks instead of pretending every week looks the same.

How we help

What working with us looks like

Support that respects billable time

Unlimited help desk during business hours, with most issues resolved remotely while the person keeps working. Fewer interruptions matter more here than almost any feature we could list.

Cloud set up so anywhere access is safe

Microsoft 365 and your core platforms configured properly: multi-factor sign-ins, sensible sharing rules, protected devices, and file access that works from a client site without opening a hole.

Onboarding and offboarding that actually finish

A repeatable checklist so a new hire is productive on day one, and a departure removes every account, device, and shared file link the same day rather than eventually.

Client data protected, monitored 24/7 by automation

Layered protection on every device, email filtering, and automated monitoring around the clock that can contain a compromised laptop overnight. Our team responds during business hours.

Planning around your busy season

We schedule upgrades and changes away from tax season, submission deadlines, and launch weeks, and make sure capacity and support are ready before the peak instead of during it.

Automating the work nobody should be doing

Report assembly, data re-entry between systems, and manual client onboarding steps can usually be automated. That converts overhead hours back into billable ones.

What you get

The outcomes that matter here

  • Billable hours protected by fewer interruptions and faster fixes
  • Client data handled well enough to say so in writing
  • New hires productive on day one, departures fully closed out the same day
  • A flat monthly technology cost that scales with headcount, not with surprises

Rules and requirements

What you may need to answer for

Requirements that reach professional services firms more often than expected.

Client contractual requirements
Larger clients attach security terms to master service agreements: encryption, multi-factor authentication, background checks, incident notification windows, and sometimes a right to audit.
SOC 2
A compliance framework and audit that demonstrates you handle client data responsibly. It increasingly shows up as a condition of winning enterprise work. It is an audit standard, not a staffed operations center.
IRS Publication 4557 and WISP
Tax preparers are required to have a written information security plan. It is a real obligation with a specific document behind it, and one many firms discover late.
State privacy and breach laws
If you hold personal information about your clients' customers or employees, breach notification duties follow, and some state privacy laws reach service providers directly.

This is a plain-English overview, not legal advice. We work alongside your counsel and auditors, and we'll tell you plainly when something is outside what we do.

FAQ

Questions we hear from professional services firms

We are mostly cloud-based. Do we still need managed IT?

Usually yes, just for different reasons than a decade ago. Cloud removes servers, not responsibility. Someone still has to configure sign-in security, manage sharing so files do not leak, keep laptops patched and protected, handle onboarding and offboarding, and answer the phone when something breaks mid-deliverable. That is most of what we do for cloud-first firms.

How do you handle busy season?

We plan around it. Upgrades, migrations, and non-urgent changes get scheduled well before or after your peak, and we verify capacity, licensing, and backups in advance. During the peak the priority is stability and fast support, not projects. Support remains business hours, with automated monitoring covering overnight.

Our clients are starting to ask about our security. What do they want?

Usually the same short list: multi-factor authentication everywhere, encrypted devices, controlled access to their data, modern protection on computers, tested backups, staff training, and a written plan for notifying them if something happens. We put those in place and keep the documentation current so you can answer with specifics instead of reassurance.

Can you support people working from client sites and home offices?

Yes, and for most of our professional services clients that is the normal case rather than the exception. Laptops are configured to be secure wherever they are, access uses multi-factor sign-ins, and support is remote-first so distance does not slow down a fix.

What does this cost, and can we start small?

Managed plans are flat-rate per month, which makes budgeting straightforward and scales with headcount. If you are not ready for that, we also work on a break-fix and on-demand basis, hourly or by project, with no long-term contract. Most firms start with an assessment so the first conversation is about your actual risks rather than a package.
